How to use Adobe Fill & Sign feature to Request Signatures

Overview

If you have an Adobe Creative Cloud license then you have access to use a limited number of "Request Signatures" using the Adobe Fill & Sign feature.  Users can always use Fill & Sign using the manual method but this article discusses the Adobe Sign SYSTEM that Adobe provides.

Adobe Request Signature is a system that guides the recipient on signing the file and meets security requirements to ensure the person who signed the document is indeed the intended person.  Adobe Fill & Sign uses Adobe Reader and requires some knowledge, outside of Adobe's applications, to complete a signature and doesn't ensure that the person who signed the document is the intended person

Adobe Fill & Sign - Request Signature

Requirements: In order to use this technology you need to either purchase transactions for Adobe Sign (please open a ticket in Team Dynamix to discuss) or have an Adobe Creative Cloud License.  Purchasing Transactions can be pricey, for example 1800 Transactions cost about $6000.  Lower numbers of Transaction mean the cost per Transaction will increase but the overall cost will go down.

  • Open Adobe Reader on your Computer
  • Login to Adobe Reader in the top right hand corner with your Adobe Account.  This must be a college username.  If you need assistance please open a ticket in Team Dynamix.
    • This is were Adobe will determine if you have access to this feature.  This document with assume this access is available.
  • Once Logged in you will see this Blue Circle Icon.

  • Open the PDF that you want to get signed (You don't have to do that as this stage but it's best practice)
  • There is 2 ways to start Fill & Sign
    • In the top menu Click Sign â†’ Fill & Sign
    • In the 2nd lower Menu click Tools, then in the lower pane click Fill & Sign

  • You will now see that you have 2 options available to you, which are Powered by Adobe Sign

  • Click Request signatures
  • If you didn't pick a file in the previous step click Select Files to open the PDF you want to sign

  • Notice the Subject is the same as the name of the PDF document you are sending for signature.  Update the subject as needed.
  • Type in the email address(es) that you want to send for signature in the Signers field.  Note: you can also add and Add CC field.

Click the More Options Link with provide these options, not the bold items below which are only availabe in this screen.

  • Files to be signed (Ability to add more files)

  • Preview & Add signature fields

Specify Where to Sign

NOTE: This options is the same as clicking Preview & Add signature fields under the More Options link (above)

NOTE: You can also click the check box to Save as a template, if this is a PDF that will be reused.

Send Button
  • After clicking the send button the file is generated and sent to the recipients.
  • Click Close in the top right corner to close.

RECIPIENT

  • The recipient will now receive an email to sign the document with all information created in previous steps.

  • Once they click Review and Sign they will be able to Sign the document.  Each method are equally legal signatures and is only for the preference of the recipient
    • Type
    • Draw
    • Image
    • Mobile

  • The Recipient will have to fill in all fields that have been added

  • Once all the field have been completed they will simple need to click Click to Sign button
  • They will then receive this message, in their web browser, to tell them it has been complete successfully and can also download their own copy

SENDER

  • The sender of the Adobe Sign document will also receive an email with these documents attached
    • Signed document
    • Final Audio Report showing history of signing event, which includes all pertenante legal information
      • IP addresses
      • Email addresses
      • History
      • Transaction ID
  • Once opened in Adobe Reader you will see a blue banner at the top of screen signifying that the PDF has been Certified by Adobe Sign

and on the right side of the banner you will see a Signature Panel Button  Click this to open up more information

  • You can also click the link found in the email, that you received, to access the saved file in Adobe Cloud
