Webmaster - Updating 0841 OSAP Tuitions Fees Extension Form file in all locations

Overview

This Web update from Financial Services have come in but have been difficult to locate all the locations and discern the location that have to be updated.  I've written this article to make these tickets go quicker with future updates.

Submitting the tickets

Have the users submit different tickets for each location the modifications are required, even if they share the same file.  Portal files are stored on the Portal and WWW files are stored on WWW, so the file will be duplicated in both environments.

PORTAL Update

Using the KB article: Article - WebMaster - Updating Studen... (teamdynamix.com)
Navigate to:

  1. RDP'd to vmssah01p
  2. RDPd to vmwebx02p
  3. Located the file needing the update and opened it in NotePad++
    1. "E:\www3\Portal\myRecordsFinancial\TuitionPaymentFooter.htm"
      NOTE: The TuitionPaymentFooter only displays for students and it not visible to staff.  Working with Irene, I did noticed that she was able to see it and Sandra would as well.
  4. Upload the new file to the DRUPAL Server (WWW)
    1. Use the Drupal Files Update Feature
      1. Click Content
      2. Files
      3. Search for File
      4. Click Replace
      5. Search for the replacement file
        FYI: This is the URL location of FILES in Drupal https://www.saultcollege.ca/sites/default/files/{date the file was uploaded}
  5. If you upload a new file you will need to change the HREF to:
    <a href="LINK FROM FILE ABOVE" target="_blank">OSAP
    Tuition Fee Extension Form</a>

TESTING Update

The TuitionPaymentFooter is called from the below location:

  1. Log on to portal.
  2. To to records tab.
  3. Under financial information click on online tuition payment.
  4. See footer

Web Location(s) to update the link to the new file:

  1. www.saultcollege.ca/user
    1. Login 
    2. Upload the new file to WWW
    3. Update the below links
  2. For Payments Inside Of Canada | Sault College - www.saultcollege.ca/admissions/pay/payments-inside-canada
  3. ...

There are other web locations our CMS (Drupal) shows old files need to be updated but Drupal doesn't provide those URL locations and we can't find them.  Irene is going to get a Student to search the website in for these other locations.  {As of Nov 20, 2023 no new locations have been found, so these are probably the only locations to update}

NOTE: There are 2 PDF files that contain links to the old files (make sure you are logged in the Student Portal before clicking the below links).  I made Irene Knowles aware of these files, and she said that Vicky Turco is responsible for these forms.

If all else fails we maybe be able to just delete them, then use our Site Improve product to identify the broken links
I've opened a ticket with our Web support company asking for assistance in finding these files as well.  {OPIN replied that they were unable to find any other locations then the one's identified above}
