Overview: Using Your Softphone or Deskphone

Overview

Our phone system includes softphones (an application to make phone calls on your computer) as well as standard desk phones.
All users with a Sault College issued laptop or desktop computer will have the Webex softphone application automatically installed on their computer. Users can also request a desk phone. This article will outline basic features of both.

How to Login to Webex 

Open the start menu and type 'Webex' to find the application.


 

If you are using a personal device and would like to install Webex yourself, you can find the download here.

Your Webex profile is tied to your Sault College account. When you are prompted to sign in, use your username (shortened Sault College email address) and password.

Note: Your shortened email address is typically your first initial and last name (e.g. jsmith@saultcollege.ca).

Overview of the Webex App

1 'Calling' allows you to make calls and view your call history.

'Voicemail' allows you to view your voicemail history and listen to your voicemails on your computer. 

'Settings' allows you to customize your experience on the Webex application. This is where you can change the speaker/headset and microphone you are using.

'Incoming calls' will popup on your computer screen, and you can click to decline or answer the call. 

Note: Webex will continue to run in the background, even if you close the app window.

Configuring Your Audio Settings

You can test your speakers and microphone within the 'Settings' menu, underneath the 'Audio' tab.

If you are using a headset, you should set it to be both your speaker and your microphone.


How To Make A Call

'Calling1 allows you to search through the company directory. You can search by either employee name or by department name. 

Note: You do not need to dial '9' in order to place outbound calls.

How To Transfer a Call

While in a call, you can transfer the call by pressing the three dots '...' next to the end call button, and selecting 'Transfer'. A dialing module will pop up and you can enter the number you'd like to transfer the call to.


 

Accessing Your Voicemail

'Voicemail' will let you listen to and manage your saved voicemails, right from your computer. 

If you use a shared phone line and would like to access the voicemail for your other lines, click the button near the top bar  to switch voicemail inboxes.

Cisco Desk Phone Overview

Your phone is powered by the network cable at your desk.

One network cable should run from the wall to the jack marked with red.

Then, another network cable should run from the blue jack to your docking station to provide an internet connection for your computer.

Note: If you are missing a network cable or are unsure how the cables should run, please contact us.

1 Line Select : Choose which line to connect to. If you require access to a specific, shared phone line and do not see it on your phone, please contact the Service Desk.

2 Softkey Buttons : Navigate the on-screen menu to select common options, such as redialing or forwarding.

3 Voicemail : Access your voicemail for the selected line. See additional note below regarding voicemail.

4 Contacts : Access and search the corporate directory, including both individual staff members and departments.

5 Volume : Adjust the volume of the ringer while outside of a call, and adjust the volume of the call while within one.

6 Release: Hang up or end your call.

7 Hold/Resume: Place a call on hold, and press again to resume the call.

8 Transfer: Transfer a call to another line.

9 Speakerphone: Place the call on speakerphone.

10 Mute: Mute your microphone.

Note: The default voicemail PIN is 321654. When you log in for the first time, you will be prompted to change your PIN and record your name to be used in your voicemail greetings.

Company Directory

You can search the company directory on the phone. 

Press the 'Contacts' button 

Then use the number pad to type in the name of the employee or department you would like to reach.
