Using Microsoft Stream to manage your video content

Overview

Stream (on SharePoint) is an intelligent enterprise video experience that is part of Microsoft 365. It empowers you to record, upload, discover, share, edit and manage video just as you would any other file. Video is like any other document. It seamlessly integrates with apps across Microsoft 365, so you get the same experience no matter where you add or engage with video content.

Stream (on SharePoint) allows us to, more easily, bring videos into other locations where viewers are already visiting. Videos can now, more easily be woven into the intranet, news articles, lessons, posts, notebooks, wikis, sites, pages, and portals mixed with text, images, files, and video.

Introduction

Effective as early 2021 to after March 28, 2023, there has been a change in where Microsoft Teams meeting recordings are stored. Previously, these recordings were saved in Microsoft Classic Stream.  Microsoft Classic Stream was a system completely separate from Microsoft's Infrastructure, and only designed to distribute video content. 
Microsoft Stream (On SharePoint) is now it's replacement. Recordings are directly saved to OneDrive, SharePoint and Teams allowing you to use control access and share video content through any of Microsoft tools or applications.

Migration of old content: This change has facilitated the need for all organizations to migrate previously recorded videos from the older Microsoft Classic Stream platform to it's replacement, Stream (on SharePoint).

Understanding how to Use Stream (on SharePoint or OneDrive)

Please review these links to get familiar with using Stream (on SharePoint).  If you have recorded any Teams meetings recently, you will already have used some of these features, intuitively, within your Teams Client.  However, there is more detail this document will provide for you.

Where to Find Your Meeting Recordings (MS Teams)

Recordings are available in different places, depending on the type of meeting you have had.  

Teams Channel Meetings - Recording saved to SharePoint (rare)
All other meetings types (such as meeting created in your personal chat as an individualized meeting) - Recording are saved to OneDrive

Below is a chart outlining the locations your video files will be saved automatically when recording a MS Teams meeting.

Let's look at these one at a time...

 

MS TEAMS (most used feature)

Recording will always be stored and available within the Teams meeting where it was recorded.  You will be able to find it in two locations, either the (POSTS or CHAT) tab and the FILES tab.  The terminology changes based on whether you used an Individual Chat or Team Channel Post when record your meeting.

This is the first place you will see the saved video file, so it is the easiest place to find a recording.

The tabs of the two meeting types look a bit different but they function the same.  

Individualized Meeting - Look for the CHAT tab, as seen as Number 1 in the below image.

After a recording is stopped, a link to the meeting will always show up in the conversation feed where the meeting occurred. It may take some time before it becomes available to you and the people in the conversation, as the video needs to be processed by Microsoft first. As this process is occurring, you will see a message Recording has stopped. Saving recording...

2) Files Tab - As seen above as Number 2 in the above images

The 2nd location, in MS Teams, that you will find the recording is in the Recordings Folder, under the Files tab.

In the tabs at the top of the Teams client, look for the FILES tab and click it.  You will now see the recording.

Where to Find Your Meeting Recordings (OneDrive)

If you recorded any type of meeting (such as an individualized meeting), other then a Channel meeting, then you will also find the files stored in your OneDrive and can be found using 2 methods.  To find your recording in OneDrive follow these instructions:

Using File Manager on your PC (Synced version of OneDrive files)

  1. Open File Manager on your Windows PC
  2. In the top left hand corner you will see a drive with your name on it, in the format of Firstname - Sault College.  Click this drive to open your synced OneDrive.
  3. You will now see a folder called Recordings and, if you had files migrated, you may see a folder called Stream Migrated Videos.  When you click one of these folders you will be able to navigate to all recorded Teams Meetings, Migrated videos from Stream Classic or uploaded videos content.  Uploaded Image (Thumbnail)

Using OneDrive on the web

  1. Navigate to OneDrive by going to https://www.office.com and clicking OneDrive
  2. Click on MyFiles, in the left navigation pane
  3. Then click Recordings or Stream Migrated Videos

Where to Find Your Meeting Recordings (SharePoint) - Less common

If you recorded any type of meeting when in a Channel meeting, then you will also find the files stored in your SharePoint. To find your recording in SharePoint follow these instructions:

Using SharePoint on the web

Navigate to SharePoint by going to https://www.office.com and clicking SharePoint

Use the SharePoint interface to find the SharePoint site that is associated with the Teams Channel where the meeting was held.  Note: It will have the same name as the Team your channel was created in.

Once you located the SharePoint site:

  1. Click the SharePoint site to open it.
  2. In the left pane click Documents
  3. Click General (in the right pane)
  4. Then click Recordings or  Stream Migrated Videos

Video Retention Policy

**IMPORTANT** - After the meeting is saved in your Chat or Posts feed you will see an option View or change the expiration date here. 

By clicking the link you will be brought to the Microsoft Stream (on SharePoint) management portal.

The default deletion date is set to 120 days.  If there is a need to keep this video for long then 120 days, to meet any alternative retention requirements, please adjust this date by clicking the link in the Video Post.

To make a change, you will first need to click the Edit Button, in the top right portion of your screen

Then click the Expires in *** days link to choose a new deletion date

There is no need to Save your changes as the change is immediate

Important: Keep in mind that the college won’t be able to recover videos that have been automatically deleted, via this retention policy, and have also expired from the your OneDrive or SharePoint Recycle Bin.

TROUBLESHOOTING Retention

If you encounter an error, when clicking a video in your Teams feed, the video may already have been deleted.  Please check the Recycle Bin to see if it can be found there.

FAQs

  1. Who can edit and/or view the Teams meeting recording?
    While only the meeting’s host and the one who initiated the recording may edit the recording, all the participants can view the recording
  2. Teams meeting recording missing the whiteboard?
    That’s because certain elements like whiteboard and notes are not recorded as of yet so you won’t see them in the recordings. One way around this problem is to take screenshots.
  3. I initiated and left the Teams meeting but the recording is still on. Why?
    The recording will only end when all the members have left the meeting and not before that even though the host or the person who initiated the recording has left the Teams meeting.
  4. Why I can’t begin recording on Teams?
    Certain companies require the host to take permission from all the members attending the meeting before they can record a meeting. This is an optional privacy feature managed by the admin.
  5. Are Teams recording stored locally?
    No. You can download them once the meeting is over and recordings appear in your OneDrive or SharePoint account.
