Adobe Creative Cloud (Student Named Licenses) - Bulk Granting Users Access

Summary

In order for Students and Faculty to have access to Adobe CC using a college Student Named License (SNL) they will need to be added to Adobe's website. Starting in 2020 fall, Sault College started using Student Name Licenses as a means to purchasing licenses, for teaching and studying.  The advantage is that we can buy licenses at a discount.  The disadvantage is that we need to purchase a minimum of 100 licenses for the first purchase and 50 for additional batches if we require.

Overview

In order for Students and Faculty to have access to Adobe CC using a college Student Named License (SNL) they will need to be added.  Starting in 2020 fall, Sault College started using Student Name Licenses as a means to purchasing licenses.  The advantage with this that we can buy licenses at a considerable discount.  The disadvantage is that we need to purchase a minimum of 100 licenses for the first purchase and 50 for additional batches if we require.  Named Licenses is an alternative but the pricing is about double but you can order as many as you wish.  

Identity Types

There are three Identity License Types: (This information is not available in a KB article, but is only availabe when talking to Adobe Technical support)

  1. Adobe ID (separate email/password managed by Adobe only, users can change their own personal info) – Adobe ID
  2. Enterprise ID (Admins control the data for users, Only the Username gets based from Active Directoy, so this is not a full SSO)
    • Active Directory Username (only), Password is synced from Domain.
  3. Federated ID (SSO) - Same as Enterprise ID, but both the username/password gets based from Azure AD so the user is not required to have to login. -
    • Azure Active Directory or Active Directory Username and Password, no sign on required.

License types:

  1. Individual (purchase from Adobe directly, but use and Adobe ID to login)
  2. Teams(Sort of Enterprise, school or lab that may need 30-35 users at max) (can’t use SSO) (Adobe ID only)
  3. Enterprise (must use a Federated ID (but doesn't have to be SSO.  

Creative Cloud All Apps vs Individual Licenses

  1. We can order one app at time or All Apps in one bundle.  It is much cheaper to order all at one time.

License Methods

Shared Device License - Rare at the college (not currently in use).  In this case, the license would stick with one computer, but since we use AppsAnywhere to distrubute the software, we need the next license Method called Named License

Named License

  • This allows the license to follow the user.  They can use Adobe Creative Cloud on any computer that has it installed, simply by logging into it.  
  • The users gets 2 log in occurrences 

Student Named License

  • This allows the license to follow the user.  They can use Adobe Creative Cloud on any computer that has it installed, simply by logging into it.  
  • The users gets 2 log in occurrences 
  • This plan comes as a large discount.
  • This is a plan that requires us to purchase 100 named licenses or more at a reduced rate, then we can up bundles of 25 or more licenses at future time.  
    So we can buy 105 license as a first purchase, but if we buy 100 then try and by 5 later, we'd have to buy the 25 pack on the 2nd purchase.

So: when ordering for:

Students we should ask for:  Creative Cloud All Apps Student Named Enterprise License

Staff we should ask for: Creative Cloud All Apps Named User Enterprise License

Since the Marketing Department was the first to buy these licenses, yeas ago, (with only 3 on their team) they purchased a Teams license, so they were using Adobe IDS instead of Federate account.

Prepare Template in CSV format

  • A faculty member will need to provide you with a CSV file listing all the users they want to have access to Creative Suite.
  • If you are being requested to add a few users you can do this manually as well.
  • Attached to this KB is an example Template that should be used to guide each import.  Please provide this to any faculty member that has permission to make these requests.  At the writing of the KB article Frank Salituri and Jennifer Mosley are the Faculty Leads and should be contacted if anyone other then them makes a request for Graphic Design Group or the E-Design Program.
  • There are two groups that can be used (Faculty and Student CC Licenses)  
    • Be careful, as each User Group requires different information, as outlined in the template CSV.

NOTE: Here is an example of the Template.  Notice that the domain is different for the User Groups (Faculty and Students)

Creating Adobe Creative Cloud Accounts

  • Once you have the CSV in the correct format
    • Login to Adobe.com
      • username: softwareadmin@saultcollege.ca
      • password: It can be found in Keypass
    • In the top right corner open the VIP Sault College department of whom purchased the licenses.  I've selected the Sault College - Graphic Design Group as 100 SNL have been purchased for this group.

  • On the Overview tab you will see, at the writing of the KB, 96 of the 100 licenses have been used

  • Next, Click on the USERS tab
  • Click, Add users by CSV bottom

NOTE: it is recommended to create accounts using the CSV template, even if it is one account, to ensure consistency and prevent errors.

  • Click Select a file
  • A Windows Explorer will open so you can navigate to the CSV that you created or was supplied to you by the Faculty member
  • Once it's selected click Upload at the bottom of the window.  

To check the progress of your Upload

  • Click the 3 dots in the USERS tab
  • Click Bulk Operation Results

  • In my case the upload was successful but if it is not you will get information here on what problem has occurred.

NOTE: At this point all the users who have been added will receive an email letting them know that access has been granted and steps on how to use their new access.

NOTE: If is very important to note that, when prompted for their EMAIL address the user will NEED to use their USERNAME instead.   This is related to how Azure SSO is integrated into Adobe's site.  Adobe's email address field is passed to our SSO, but Sault College's Azure login requires a username.  Both these pieces of information have to be in sync for the login to occur.
